A well-established educational organisation operated more than a dozen pages and profiles across platforms, each started by different staff members or volunteers over the years. There was no central record of which assets existed, who administered them, or which had two-factor authentication enabled. When the person running their most-followed page fell seriously ill, the organisation discovered it had no way to reach several of its own audiences — and no plan for preventing the same single-person dependency elsewhere.
Step 01
We catalogued every page, profile, and connected asset across the organisation — administrators, recovery emails, phone numbers, and status of security features — producing the first complete picture of the operation's digital footprint.
Step 02
We designed a tiered administration model: a small central team holding ultimate ownership, campus coordinators holding working admin roles, and volunteers holding content roles only — eliminating single-person dependencies by design.
Step 03
We delivered a lightweight governance handbook: naming conventions, a shared asset register, offline-stored ownership records, and a required checklist for launching any new page.
Step 04
We wrote a step-by-step playbook for the most likely disruptions — lost access, impersonation of the organisation, departing staff — and trained coordinators on it so the framework would outlive any individual.
The organisation came away with a governed, documented, and recoverable digital operation: every asset has named owners, backup administrators, enabled security features, and a written response plan. The framework they now operate was designed for continuity rather than crisis response — and it turned a fragmented volunteer-run footprint into a managed institutional asset.
