A ten-person services firm received login alerts from unfamiliar devices on its advertising account. Investigation showed the firm's credentials had been shared informally across staff for years — some in chat threads, some written down — and a recently departed employee still had working access to several business assets. Nobody could say with confidence who could log in to what, or which passwords might already have leaked.
Step 01
We built a complete inventory of the firm's digital assets — pages, ad accounts, commerce profiles, email, domain registrar — and mapped every account to every human who could reach it, exposing unknown logins and dormant profiles.
Step 02
We produced a sequenced rotation schedule: highest-exposure assets first, unique passwords per account, stored in a recommended password manager rather than chat threads, with the departed employee's access revoked at every layer.
Step 03
We walked the team through enabling two-factor authentication on every business asset, using authentication apps rather than SMS where supported, and documented recovery codes so a lost phone could never lock the business out.
Step 04
We replaced the 'everyone knows every password' habit with role-based access — admins, standard users, and view-only — and ran a short, practical training session so the new structure survived day-to-day pressure.
By the end of the engagement the firm held a documented access register, full two-factor coverage on its business assets, rotated credentials, and a tiered permission model. The suspicious login alerts stopped after access was rebuilt. The engagement did not involve forensic attribution of the original exposure — it focused on the practical security rebuilding the client needed.
